Booking Platform for Scientific Devices
The Booking Platform for Scientific Devices, or Bookings, is available through https://bookings.science.ru.nl/.
Access
To obtain access, you must first log in once, and then contact an admin to give you full access. Go to https://bookings.science.ru.nl. Click the red arrow in the top right and click SURFconext, then log in using your S or U number and password. Your account will then have to be activated by one of the admins (see below). Send one of them an email requesting access and the following information: S/U number, name, group name.
If you have had training on a device and want to book this device for yourself, contact an admin for booking access (see below).
Training for a device is required before being allowed to book a timeslot on it.
The current Booking admins for Synthetic Organic Chemistry are Frank Veldhuizen, Dennis Löwik, and Jan Zelenka (possibly more people).
Overview
To log in, click the red arrow in the top right corner and select SURFcontext. Log in using your S, U, or Z number and your password.
On the left is a list of categories that can be clicked to show their subcategories. For SOC users, the Organic Chemistry (IMM) is the most relevant. Clicking a subcategory shows the available devices. If a device is out of order, it will be marked with an X in a red circle instead of the green V most devices have.
Click Book device to go to the Device booking screen. This screen allows you to create a new booking, adjust an existing booking (if the device’s settings allow this), and view the selected week’s availability. Fill in the desired date and time and click Create Booking to create a booking.
Protocol
Please do not use a device if another person has booked it. Always discuss with the booked user before interacting with the instrument.
If a user has booked a device for a significant amount of time (3+ hours) and they end up not using all of this time, it is common for them to email the group (orgchem-group@science.ru.nl) to let them know the instrument can be used by others.
Use of the Booking Platform
Using the Booking Platform is mandated for several reasons.
First, of course, it allows users to be certain that they can access a particular device at a particular time. The system is also used to monitor how often the device is used, whereby can be determined how much funding should go to the upkeep of the device. Another reason for use of the Bookings system is to prevent untrained users from accessing sensitive equipment.
